Is DingTalk Secure? A Guide to Business Data and Privacy

DingTalk lets businesses restrict device access and control how employees view, edit, download, and share files. These controls help protect everyday work, from customer contracts to internal pricing documents.

For a company working across countries, the review also needs to cover data hosting, support access, and employee privacy.

Control Who Can Sign In and Use Company Files

DingTalk provides several administrator controls:

• Trusted Devices manages which devices can sign in.
• In-App File Control restricts actions such as forwarding, downloading, and copying files.
• Online Document Control manages copying, exporting, and sharing online documents.

For example, sales can use a customer-facing brochure while only the pricing team can access the internal cost model. A contract reviewer may need read-only access; the person negotiating its terms may need to edit it.

Choose permissions to match the task, and tell employees which information they may share externally. Available controls depend on the plan and client version.

Check Hosting Requirements Before Deployment

If company policy requires certain data to stay in a particular region, ask the DingTalk team about the services and data types you plan to use. Include any third-party applications: their processing arrangements may differ from those of the main platform.

Storage location is only part of the picture. Employees in other countries may access shared information, and maintenance may involve remote access. DingTalk's Privacy Policy describes limited, authorized access by certain group entities for maintenance, technical support, and related work.

Review both where information is kept and who may access it.

Use Watermarks Alongside File Permissions

DingTalk's Global Visible Watermark displays a watermark within the app. It can be used alongside download, forwarding, and export restrictions for sensitive information.

The watermark is an on-screen feature; it is not automatically added to exported files. See the watermark documentation when deciding how to handle material that leaves the app.

Set Rules for Employee Data and Meeting Recordings

For enterprise accounts, the company decides how accounts are used for work, and DingTalk processes the relevant information under its instructions. The Privacy Policy explains these arrangements and cross-border processing safeguards.

Your company still needs clear rules for using the service. Before recording meetings, decide why recordings are needed, tell participants, limit the audience, and set a retention period. Assign someone to handle access changes when employees move roles or leave.

Prepare the Security Review and Trial

Start with the Terms of Service and Privacy Policy. The Help Center explains how individual controls work. If your review requires certificates, audit reports, or technical documentation, request material that covers the product you're buying. Check its scope and validity, as well as the entity named in it.

Then try a small team with real tasks. Test that editors can make changes, reviewers can read the material, and people without permission cannot open it. Name an administrator and an owner for shared files so account changes and handovers have a clear point of contact.
